Personal Assistant


About the Role

A personal assistant (PA) to the Managing Director (MD) managing schedules, handles communications and correspondence, coordinates meetings and travel, and provide administrative support for projects and documents. The role requires strong organizational skills, discretion, and the ability to act as a gatekeeper, liaising with internal and external stakeholders while handling confidential information.

Key Responsibilities

  • Manage the MD's calendar, schedule meetings, and handle appointments.
  • Act as a gatekeeper, filtering and managing phone calls, emails, and other correspondence on behalf of the MD.
  • Take minutes at meetings and track action items.
  • Arrange all aspects of travel, including flights, accommodation, and itineraries.
  • Organize and coordinate events, such as conferences, meetings, and corporate functions.
  • Meet and greet visitors and manage logistics for events.

Qualifications & Experience

  • A bachelor's degree in business administration, communications, or a related field is often preferred, although equivalent experience is sometimes accepted.
  • Prior experience in an executive assistant or senior administrative role is highly valued.
  • Additional certifications in administration can be advantageous.

Hard and technical skills

  • Excellent command of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential
  • These include advanced calendar management, document preparation, travel coordination, expense reporting, and meeting minute-taking.
  • The ability to conduct research is often a required skill.
  • Exceptional verbal and written communication skills are crucial for drafting correspondence and interacting with internal and external stakeholders.
  • These are critical for prioritizing tasks, managing the MD's time, and handling a demanding workload.
  • The ability to handle sensitive information with a high degree of professionalism and discretion is non-negotiable.
  • A professional ability to remain calm under pressure are essential.
